Wireless Route Sales Accounting Systems and Services

 

Our wireless route sales accounting system is intended to be a complete add-in module to manage route sales in a large company. It is intended to handle multiple manufacturing units, warehouses and distribution centres, and multiple routes in multiple regions.

On a smaller scale, the same application can also serve a small company with only one or two routes, and no warehouse. A small company can use our server to store their data, and the invoices generated can be sent electronically to the company accountant. Basic sales analysis, reporting and reconciliation can be done directly from our server using any PC anywhere with internet access.

Wherever possible we have used open source components so the system does not attract expensive license fees for IT infrastructure. Nevertheless it can be run on high end servers and high performance scalable ODBC databases using proprietary versions of Unix.

Our wireless route sales accounting system is designed to operate from a base price catalog of items to which tiers of discounts can be applied by customer group and class, and by item group and class, all the way down to an individual item/customer combination. This makes it easy to control prices by larger groupings while preserving the ability to manage prices at a fine granularity.

Features

  • Basic Handheld

    The basic features are the ability to make a sale or issue a credit and record the details of payment in a data set on the server. This requires the presence of functioning item, customer and order datasets as well as pricing, promotions and adequate lookups for both items and customers.

  • Truck Inventory

    An inventory dataset to record starting and current inventory as well as summarised movements by category (sale, return, transfer in or out, adjustment). The ability to transfer inventory. The ability to count and verify inventory, and post associated adjustments. The ability to account for change of inventory on a settlement.

  • Multiple Route

    Salesman and route logins with passwords. Tracking of transactions by route or salesman. Separation of inventory by route.

  • Advanced Handheld

    Lookup of customers by phone number or street. Lookup of items by UPC. Effectivity dating for items, prices and promotions. Handling of generic pricing and promotions by customer and item categories. Automatic order generation based on past sales. Item scroll during ordering process. Full settlement reporting and recording with inventory variance.

  • Printing

    Basic printing is for a physically connected serial printer. Bluetooth printing is for a wireless printer in the immediate proximity.

  • Multiple Company

    Company specific login with access to a separate dataset based on login. Parameterised feature controls, menus and document headings. Separation of database maintenance by company with security.

  • Web Maintenance

    Ability to view, search, update and create data using a web browser interface.

  • Web Reporting

    Ability to generate, view and print reports of selected data using a web browser interface.

  • Distribution Centre

    The full handheld capabilities on a full-screen terminal with appropriate interface changes. Additional support for separated ordering and shipping with picking and shipping documents, and bills of lading. Inventory analysis with replenishment cycle support (purchasing subsystem).

  • Price and Promotion Management

    Full screen terminal interface for the management of effectivity dated pricing and promotions. Management of pricing contracts and promotions by generic coding (eg. a given price or discount is applicable by any combination of buying group, customer class, region, billing group, ordering group or delivery location with any combination of item group, category, size or sku).

  • Inventory Control

    Transfers between any combination of trucks, warehouses, and factories. Tracking of inventory by location including intransit inventory. Variance accounting to GL level with separated counting by location and date. Ability to continue business while a count is in progress. Inventory reporting and valuation by date and time. Shortage/surplus recording and accounting by salesman.

  • Route Reconciliation

    Full accounting for sales, inventory, payments and charges by salesman with recording of actual receipts against reported, counted inventory against theoretical, and posting of over/short records. Commission calculation by salesman taking into account shortages, returns and bad debts incurred. Commission structure by region, route, salesman, customer group and class or number, item group, cateory and size or sku. Cyclical detailed reporting for each salesman.

  • Accounting Feeds

    Preparation of data for import into Accounts Receivable and General Ledger Subsystems.

  • EDI Feed

    Preparation of EDI format packets for direct transmission or import into EDI interface.

  • Manufacturing Feed

    Preparation of data on inventory levels pending orders and past usage for feed into manufacturing demand projections for MRP.
